Wolfee ("we", "us", "our") operates the wolfee.io website and applications. This page describes what data we collect, how we use it, and the choices you have.

Information We Collect

Account information. When you sign up, we collect your name and email address, and — if you sign in with Google — your profile picture, to authenticate your account.

Google user data (Google Calendar). If you choose to connect your Google Calendar, Wolfee requests read-only access to your calendar events (calendar.events.readonly). We access event titles, times, attendees, and video-conferencing links (e.g., Google Meet, Zoom) for one purpose: to detect your upcoming meetings so Wolfee can record and transcribe the ones you've asked it to. We do not modify, create, or delete calendar events, and we do not access calendars you have not authorized.

Meetings and conversations. With your direction, Wolfee records, transcribes, and analyzes your meetings, video recordings, and practice sessions, and stores the resulting transcripts, recordings, and AI-generated analysis in your account.

Resume information. If you choose to upload a resume, we store the extracted text and a summarized version to personalize your practice sessions. This information is shared with our AI model and avatar providers to power your sessions, and you can remove it at any time from your account page.

How We Use Your Information
We use your information solely to provide and improve the Wolfee service: authenticating your account, detecting and recording the meetings you've chosen to record, generating transcripts, summaries, action items, and performance feedback, and making your conversation history available to you and to AI assistants you explicitly connect.

Limited Use disclosure. Wolfee's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Specifically: we only use Google user data to provide the user-facing features described above; we do not transfer it to third parties except as necessary to provide those features, comply with law, or as part of a merger or acquisition with notice to you; we do not use it for advertising; and we do not allow humans to read it except with your explicit permission, for security purposes, to comply with law, or when aggregated and anonymized.

AI training. Wolfee does not train AI models on your data, and our primary AI providers' API terms prohibit training on customer data. We do not sell your data.

Data Sharing
We do not sell, trade, or share your personal information with third parties. Your data is processed by service providers solely to deliver the service, under agreements that restrict their use of it: transcription and speech-to-text (Deepgram, Recall.ai), AI analysis (OpenAI), AI practice simulations (Tavus), cloud hosting and database (Railway), object storage (Cloudflare R2), payments (Stripe), and transactional email (Resend).

Third-party AI assistant access. When you connect Wolfee to a third-party AI assistant (Claude, ChatGPT, or any other MCP-compatible client) via OAuth, that assistant can read your meetings, videos, action items, and calendar on your behalf, scoped to read-only access. We share no data with the assistant provider beyond what they pull through your authorized connection. You can revoke calendar access and API keys at wolfee.io/account, disconnect Wolfee from within ChatGPT or Claude's own connector settings, or delete your account (which revokes all grants).

Data Storage and Security
Your data is hosted on Railway (United States), with recordings stored in Cloudflare R2. Data is encrypted in transit, and our infrastructure providers encrypt data at rest by default. Access to production data is restricted to authorized personnel for operating the service.

Data Retention and Deletion
We retain your data for as long as your account is active. When you delete your account (in your account settings, or by emailing [email protected]), we delete your personal data, recordings, transcripts, AI-generated analysis, and any stored Google user data, except where retention is required by law. You can also disconnect Google or Microsoft Calendar at any time from your account settings, which stops all further calendar access; you may additionally revoke Wolfee's access from your Google Account security settings.

Your Choices
Connect or disconnect Google or Microsoft Calendar at any time; revoke calendar access and API keys at wolfee.io/account, disconnect Wolfee from within ChatGPT or Claude's own connector settings, or delete your account (which revokes all grants); request a copy or deletion of your data at [email protected].

Changes to This Policy
We will post any changes on this page and update the "Last updated" date. Material changes will be communicated by email or in-product notice.
